ACCOUNTING SPECIALIST

JOB STATUS:  Non-Exempt                                                                                 REPORTS TO: Financial Manager

JOB SUMMARY:  The Accounting Specialist is responsible for billing customers, accepting credit card payments, and answering accounts receivable questions. To be successful you must posses time management skills and have general knowledge of bookkeeping practices and procedures.

 Accountabilities:

Billing

  • Verifies accuracy of billing data, correcting any order errors
  • Creates invoices according to company practices and balances batch totals
  • Assists with keying orders as required, recording amounts due for items purchased or services rendered
  • Maintains and updates customer files, including name or address changes, and any unique requirements
  • Processes credit card payment for customers and generates receipt via email when appropriate

Accounts Receivable

  • Provides support by answering accounts receivable questions
  • Balances credit card and cash transactions
  • Reviews and researches customer discrepancies and past-due amounts for assigned customer group
  • Collaborates with Collections to reconcile accounts receivable on a periodic basis
  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable
  • Collaborates and requests support from Credit Manager as needed

 Misc.

  • Answers incoming phone calls, transfers calls, and takes messages as backup
  • Takes calls and answer questions from customers
  • Assists with rental invoicing
  • Performs other related duties as assigned
  • Copies, files, and retrieves materials for accounting department as needed

 Required Skills/Abilities:

  • Degree in accounting or related field, or equivalent experience
  • Comfortable using Microsoft Word, Excel, online portals and computers
  • Basic understanding of clerical and administrative procedures
  • Ability to anticipate work needs and interact professionally with customers
  • Excellent organizational skills and attention to detail
  • Ability to maintain confidential and meticulous records

Education and Experience:

Position Summary

This position is responsible for supporting customers with welding equipment, industrial gases, hardgoods, and related services. The Inside Sales Representative serves as a trusted resource to customers, supports Outside Sales, and ensures orders are handled accurately and efficiently from quote to delivery.

Key Responsibilities

Serve & Support Customers

  • Respond promptly and professionally to phone, email, and online inquiries
  • Understand customer needs and recommend the right gases, equipment, and accessories
  • Promote add-on and complementary products to support customer productivity
  • Resolve questions and concerns quickly and completely

Drive Accurate & Profitable Sales

  • Enter and process orders accurately

Support the Team

COUNTER/WAREHOUSE ASSOCIATE

JOB SUMMARY:
The Counter/Warehouse Associate will be responsible for assisting customers with purchasing and ordering products focusing on gases and welding/industrial supplies. Duties will also include receiving incoming stock, and picking, packing, and shipping outgoing orders

Accountabilities:

  • Assisting customers in store as well as by phone to purchase and order products.
  • Performing customer service activities such as answering questions, resolving challenges, tracing order statuses or product shipments.
  • Evaluating and recommending appropriate product, equipment, and/or programs to customers based on need.
  • Promoting ‘add-on’ sales of gases and high margin hard goods accessories
  • Keeping retail store stocked with merchandise, and maintains product pricing labels
  • Handling cash and charge account transactions
  • Processing cylinder returns, exchanges and purchases
  • Unloading/loading gas cylinders to maintain stock on cylinder dock
  • Loading trucks and trailers with outgoing product
  • Maintains inventory storage locations, and product identification labels
  • Maintains cleanliness and neatness of Retail Store and Counter, and the warehouse work areas
  • Maintains customer records and files, including keying orders, accurate account setup information, and appropriate pricing discount information
  • Works closely with and provides sales support to the Inside Sales team

FILL PLANT OPERATOR

JOB SUMMARY:
A Fill Plant Operator safely handles and fills compressed gas cylinder products to be delivered to customers in a timely manner. This position is based in Louisville, KY.

Accountabilities:

  • Filling all gas cylinders, high and low pressure, and liquid containers in accordance with safety procedures, quality.
  • Accurately labeling, tagging, and preparing cylinders for shipment.
  • Loading and unloading cylinders on and off company vehicle.
  • Loading cylinders on and off pallets, ensuring they are secured
  • Rolling cylinders to designated work area using appropriate safe work method.
  • Examining returned cylinders for surface defects, dents, cracks, burns, etc.
  • Cleaning, removing old labels and minor repairs/maintenance on cylinders.
  • Understanding hazards of gasses, sizes and contents of cylinders by reading and interpreting cylinder labels and color-coding of tanks.
  • Monitors and maintains sufficient stock to meet customer demand.
  • Managing quality control fill records as required.
  • Assisting in specialty gas lab as needed.
  • Other duties as assigned.
